TOUR PRICE, DEPOSIT, AND PAYMENT
Mad Travel Africa Tours has made every effort to ensure the accuracy of the tour prices. However, due to factors beyond their control, such as unforeseen circumstances, these prices are subject to change. In such cases, Mad Travel Africa Tours will do their best to inform clients promptly.
The tour price includes only the services and items mentioned in the itinerary and tour dossier. Any additional items required by the client, whether directly or through a third-party service provider, are the client's responsibility to pay.
Certain activities included in the tour have prices regulated by specific countries. Mad Travel Africa Tours has no control over any increases in these prices, charges, and tariffs, even if they occur during the tour. Therefore, the company reserves the right to adjust the relevant prices to account for such fluctuations.
To secure a booking for the tour, a non-refundable deposit of 25% is required. This deposit will be deducted from the overall tour price.
The full tour price must be paid no later than 28 days before the tour's departure date. Failure to do so may result in the company considering the booking as canceled and applying the relevant cancellation penalties as stated in the terms and conditions. If a client makes a booking within 28 days of the tour's departure date, the full price must be paid to secure the booking.
CANCELLATIONS:
If a booking is canceled up to 29 days before the tour's departure date, the non-refundable deposit will be forfeited. For cancellations made less than 29 days prior to the tour's departure date, the following penalties will apply:
- Cancellation between 28-15 days before departure: 50% of the tour price.
- Cancellation between 14-7 days before departure: 75% of the tour price.
- Cancellation less than 7 days before departure or "no shows": 100% of the tour price.
The company reserves the right to apply any portion of the non-refundable deposit towards the cancellation penalties. The company reserves the right to cancel the tour at any time and for any reason. If such a cancellation occurs, the company will refund the tour price (including the non-refundable deposit) to the client. No claim for damages can be made against the company in case of tour cancellation.
PASSPORTS, VISAS, AND OTHER TRAVEL DOCUMENTS:
It is the client's responsibility to ensure that their passport, visa, health certificates, proof of vaccinations, and any other required documentation are in order for the countries visited during the tour. The company cannot be held liable for any consequences, damages, or claims arising from the client's failure to attend to their documentation correctly.
INSURANCE:
Comprehensive travel and cancellation insurance is mandatory for the tour. The client must have such insurance in place, along with the necessary paperwork, before embarking on the tour. If the client fails to provide proof of insurance upon request by the company, the company may, at its discretion, exclude the client from the tour. In such cases, the client will be liable for the cancellation penalty payments stated in the terms and conditions. The client acknowledges that the travel insurance must include comprehensive medical coverage, including provisions for air evacuation. The company is not responsible for any consequences, damages, or losses resulting from the client's failure to have adequate insurance coverage.
BAGGAGE:
The client is responsible for their own baggage and personal belongings during the tour. The company cannot be held liable for any loss or damage to the client's baggage or personal effects, regardless of the cause. The client is allowed to bring one bag, such as a backpack or soft bag, weighing up to 20 kilograms, along with a day pack. If the client requires a larger baggage allowance, they must arrange it with the company and may be charged an additional fee at the company's discretion. However, the company reserves the right to refuse excess baggage.
HEALTH:
The client acknowledges that participating in the tour requires a certain level of physical fitness and good health. It is the client's responsibility to ensure that they are medically fit to undertake the tour. If the client is over the age of 65, the company requires a medical certificate or a doctor's letter confirming the client's fitness for the tour.
AUTHORITY ON TOUR:
Throughout the tour, the client must comply with the laws, customs, and foreign exchange regulations of the countries visited. Additionally, the client acknowledges that any disruptive, dangerous, or potentially harmful behavior during the tour will not be tolerated. The company, its employees, representatives, agents, or contractors authorized by the company have the right to exclude the client from the tour under such circumstances. The company is not liable for any costs or expenses incurred by the client as a result of exclusion. The client is not entitled to a refund or compensation for the tour price in such instances.
FORCE:
Unforeseen circumstances beyond the company's control, such as war, mechanical breakdowns, weather conditions, riots, or other unforeseen reasons, may cause delays or changes to the tour. The company cannot be held liable for any of these occurrences or the resulting consequences.
INDEMNIFICATION AND EXCLUSION OF LIABILITY:
The client acknowledges that the tour involves a certain level of adventure and personal risk. The company, along with its directors, officers, employees, representatives, and agents, is not liable for any loss or damage, including injuries, death, or property loss or damage, incurred by the client or any other person during the tour or any other activities related to the tour. The client releases and discharges the company and its respective parties from any and all liability in relation to such matters.
